Frequently asked questions - Email Stationery

Installation & Usage Issues:

  • What is Email Stationery?
  • Microsoft email programs (Outlook etc) allow you to apply a "style" to new emails, in the form of a template that starts all new emails. Door4 provide a customised, bespoke template which works with Oulook in this way. We didn't "invent" Email Stationery, but offer a version that suits your business.
  • What packages can it be used with?
  • Microsoft Outlook 2002/2003/2007, Windows Mail and Outlook Express.
  • Can it be used with AOL?
  • No, unless you are using Outlook or Outlook Express for your email.
  • Can it be used with Lotus Notes?
  • It's hard to say - for more information, ask your system administrator.
  • Can it be used on a Mac?
  • Generally no - but you are free to order it if you are confident that you can install it.
  • I write my emails in MS Word, can I copy and paste the text/tables into my email?
  • Although you can copy and paste from MS Word we do not advise or support it, this is due to the amount of extra code that Word adds in. Using text pasted from Word can also lead to the email not being received correctly.
  • How is the stationery delivered to me?
  • We will email you with the necessary files and full Installation Instructions.
  • How big is the stationery?
  • In most cases, between 8kb and 30kb. If you require the stationery package to be a certain file size, please let us know before we begin.
  • Is it easy to install?
  • Yes, it takes a couple of minutes following the instructions received, if you have any problems we provide telephone or email support during office hours.
  • Is there a chance of catching a virus by installing your email stationery?
  • No – we do not install software or use self-extracting archives for your own safety. However - you should always use virus protection software/firewall.
  • Can I use the Email Stationery when I reply to emails that I have been sent?
  • Email programs use Email Stationery to create new emails. They do not add your stationery when replying. If you wish to reply to an email using your stationery, you should create a new email as a response. (This is a matter for your email package, not our email statitonery.)

Licences, contracts and all that stuff

  • Are there recurring fees for using Email Stationery?
  • No. Once we have provided your template, and it is installed (and paid for) it is yours to use, for eternity. Our Etube service has an annual fee which enables you to create new templates, but once you've created a template, it's yours to keep.
  • How many computers can I install Email Stationery on?
  • You can install your template on as many computers as you wish, there is no limit or restriction.

Microsoft Outlook 2007

  • Do you produce email stationery for Microsoft Outlook 2007?
  • Yes, our email stationery is compatible with Microsoft Outlook 2007.
  • How is email stationery for Outlook 2007 different than that for earlier versions?
  • In short, Outlook 2007 now uses Word format to display/compose its HTML emails. Previously it used a version of Internet Explorer.
    As a consequence, the layout of stationery can differ vastly between older and newer versions of Outlook. Unless instructed otherwise, we produce email stationery that is compatible with all versions.
  • I had a template designed by door4 some time ago, and it looks odd when displayed in Outlook 2007. What should I do?
  • Some templates simply need to be redesigned, others may be adjustable with only a minor tweak. A fee will be charged for this service.

Reading Email Stationery Issues:

  • Who can see my email stationery?
  • Anybody who can read HTML emails can see your email stationery. If you require more information on this please contact us.
  • Who may not see my email stationery?
  • Some large corporations use 'aggressive' email servers which strip emails to plain text. This will not stop your message getting through but the recipient may not see the graphics.

Printing emails with Email Stationery:

  • Is it possible to print out the emails, including the Email Stationery?
  • It is possible to print out emails including the Email Stationery however depending on the software that the recipient is using they may, or may not be able to print out the email including the images. For those who cannot see the images when the email is printed out they will see the title of the graphic, such as your company’s name.
    Due to the numerous combinations of email software, operating systems and printers we are unable to support the printing of emails or guarantee that stationery will print out.

Using Email Stationery with signatures:

  • Can I use this Email Stationery with my existing signature?
  • We advise that you don't use an existing signature with the Email Stationery. This is because it can not be inserted automatically into the correct place. If you want to use a signature then you may do so, however we will not support the use of our templates using a signature.
    If you require individual templates for each member of staff, then this can be arranged at the cost of £35+VAT per template. For large quantities of additional templates you can now take advantage of Etube which allows you to create an unlimited number of templates for a fixed annual fee.
